Delegation: Acting on Behalf of Another User

When to Use This Event

Use this event when you need to act on someone else’s behalf because they have delegated their work to you. Delegation can be requested for no longer than three weeks at a time, and requires manager approval. Additionally, only certain tasks in Workday can be delegated. The tasks that can be delegated are Creating/Approving Job Requisitions, Approving a TSM’s Organization Assignment Change, or Terminating a TSM.

Delegation: Acting on Behalf of Another User

Navigate to your Inbox:

  1. Click on your name in the top-right corner of the Navigation bar. If you currently have permission to act as a delegate for someone else, Workday displays the Switch Account option in the drop down menu
  2. To switch to the account for which you have been assigned as a Delegate, click Switch Account
  3. Click on the account of the user for which you will act as a delegate
    *Please Note: Switching Accounts brings up a new Delegation Dashboard. From this dashboard, you can initiate business processes that have been delegated to you by the user on whose behalf you are acting.
  4. Initiate new transactions by clicking on the hyperlink within Reports and Tasks. For assistance in completing these transactions, refer to the applicable Workday How To Guide
  5. To view the inbox items awaiting action by the user for whom you are acting as a Delegate, click on their name in the top-right corner of the Navigation bar. Then select Inbox from the drop down menu
  6. The inbox items that you have been authorized to act upon will display. Review the transaction, and act upon them accordingly
  7. To switch back to your personal Workday account, click Switch Account again and select your own name
